The Sales Operations Coordinator Role

The Sales Operations Coordinator at SubC Imaging is the dynamic force that keeps our sales and operations teams connected and thriving. Driven by a positive attitude, a go-getter mentality, and a responsive approach, you'll partner with sales, order fulfillment, accounting, and operations, bringing your social and collaborative spirit to every task.

You'll be the energetic and friendly connector who ensures smooth sales operations, providing exceptional service to both our external clients and internal teams. Key Responsibilities
  • Invoicing, Order Processing, and Fulfillment Coordination:
    • Handle processing sales quotes/orders, repair requests, trial equipment inventory, and warranty claims with accuracy and timeliness.
    • Coordinate with production and shipping departments to ensure timely and accurate order fulfillment.
    • Manage invoicing for sales orders, rentals, and streaming services, ensuring accuracy and timeliness.
    • Coordinate domestic and international shipping, ensuring efficient and timely delivery.
    • Provide customer updates for orders, repairs, and post-sale support, maintaining high levels of customer satisfaction.
    • Issue, track and report on rental equipment, ensuring all documentation and processes are managed effectively.
    • Utilize reporting tools to monitor and report on the utilization of streaming services.
    • Assist with the accounts receivables process, working closely with accounting to ensure timely payments and resolve any discrepancies.
  • Enterprise Resource Planning System and Data Management:
    • Assist with managing and maintaining the ERP and CRM systems, ensuring customer and product information is up-to-date and sales operations activities are accurately tracked.
  • Cross-Departmental Collaboration and Process Improvement:
    • Act as a key liaison between sales, order fulfillment, accounting, and operations teams, ensuring seamless communication and collaboration.
    • Continuously review and improve sales operations processes to enhance efficiency and effectiveness.
    • Support ad-hoc projects and initiatives that contribute to the overall success of sales operations.
Requirements
  • Diploma in Business Administration, or a related field, or equivalent experience.
  • Experience with enterprise resource planning (ERP) systems such as Acumatica or similar.
  • Proficiency in CRM systems such as Salesforce and Google Workspace (Google Docs, Sheets, Slides, Gmail, Drive, Calendar and Tasks).
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities simultaneously.
  • Excellent communication skills, both written and verbal, using in-person, video conference, email, and telephone communication methods, with a collaborative and proactive approach.
  • A driven, energetic, and outgoing personality with a positive attitude and a strong sense of initiative and responsibility.
