About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at PERCY JOHN FLOORING LTD. as a key member of our administrative staff.

Key Responsibilities
  • Policy and Procedure Development

Develop and implement effective policies and procedures to ensure seamless office operations.

Meeting and Event Support

Record and prepare minutes of meetings, seminars, and conferences, ensuring accurate and timely documentation.

Office Administration

Determine and establish office procedures and routines, ensuring efficient workflow and productivity.

Scheduling and Coordination

Schedule and confirm appointments, meetings, and events, ensuring seamless coordination and communication.

Communication and Customer Service

Answer telephone calls, relay messages, and respond to electronic enquiries, providing exceptional customer service and support.

Data Management and Analysis

Compile data, statistics, and other information, providing valuable insights and support to senior management.

Senior Management Support

Advise senior management on administrative matters, providing expert guidance and support.

Supply Chain Management

Order office supplies and maintain inventory, ensuring efficient and effective supply chain management.

HR and Payroll Support

Liaise with management, union officials, and HR consultants, ensuring seamless HR and payroll administration.

Travel Arrangements

Arrange travel, related itineraries, and make reservations, ensuring smooth and efficient travel arrangements.

Front Desk and Reception

Greet people, direct them to contacts or service areas, and provide exceptional customer service.

Information Management

Set up and maintain manual and computerized information filing systems, ensuring accurate and efficient information management.

Document Preparation and Proofreading

Type and proofread correspondence, forms, and other documents, ensuring accuracy and professionalism.

Data Entry and Management

Perform data entry, ensuring accurate and timely data management.

Customer Service and Support

Provide exceptional customer service, responding to enquiries and resolving issues in a timely and professional manner.

Digital Database Management

Maintain and manage digital databases, ensuring accurate and efficient data management.

Requirements
  • Education

Secondary (high) school graduation certificate.

Experience

1 year to less than 2 years of experience, or equivalent experience.

Work Environment

This is a permanent position, working 40 hours per week. The work language is English.
