About Us

The University of Toronto's Faculty of Applied Science & Engineering is seeking an exceptional Program Assistant to provide front-line assistance and program support to our Minor and Certificate programs. Our Cross-Disciplinary Programs Office coordinates 10 minors, 15 certificates, and several dedicated course offerings to support various programs available to all undergraduate engineering disciplines.

Salary Range: $51,170 - $65,437 per year (80% FTE)Job Description:
  • Provide detailed information on minor and certificate program requirements to students.
  • Serve as the primary contact for general inquiries about our programs.
  • Respond to student and faculty enquiries within defined scope, redirecting as necessary.
  • Distribute program information to current and prospective students.
  • Liaise with students and faculty to coordinate program activities.
  • Maintain records on ACORN and Degree Explorer.
  • Offer non-supervisory job-related guidance to colleagues.
Required Skills and Qualifications:
  • Advanced College Diploma or acceptable equivalent experience.
  • Minimum two years of recent relevant administrative and front-line academic student support services experience, preferably in an interdisciplinary university setting.
  • Experience providing tailored academic program and policy information to post-secondary students.
  • Familiarity with STEM disciplines.
  • Proven ability to work directly with faculty members and students in a detail-oriented client services role.
  • High proficiency with Microsoft Office Suite and Quercus or similar student portals.
  • Proficiency with ROSI and Degree Explorer or similar student information systems.
  • Strong organizational, communication, and interpersonal skills.
  • Demonstrated commitment to equity, diversity, inclusion, and promoting a respectful learning environment.
  • Ability to accurately interpret and apply procedures and policies effectively.
  • Capacity to work independently and collaboratively under pressure, prioritizing tasks and meeting deadlines.
  • Judgement, discretion, tact, and diplomacy when handling sensitive matters.
  • Customer service orientation and sensitivity to meet the needs of students, staff, and faculty professionally.
