Job Description

We are seeking a highly organized and detail-oriented Senior Activity Center Clerk to join our team at the City of Fraser, MI. As a key member of our staff, you will provide exceptional administrative support, ensuring the smooth operation of our department.

About the Job:

This is a challenging and rewarding opportunity for a skilled clerical professional to utilize their expertise in typing, records processing, and computer skills to perform a variety of tasks. You will be responsible for compiling information, typing correspondence, reports, budgets, and other materials; processing and maintaining various records; and organizing office files.

Key Responsibilities:
  • Compile information and type correspondence, reports, budgets, forms, permits, records, and other materials.
  • Process and maintain various records and organize and maintain office files.
  • Receive, screen, and route telephone calls, and assist visitors by ascertaining needs, explaining departmental policies and procedures, initiating necessary paperwork, or referring them to the appropriate staff.
  • Maintain a general knowledge of department operations to provide accurate answers to callers/visitors.
  • Schedule appointments and maintain calendars for the department. Prepare itineraries and make reservations.
  • Sort and distribute mail and other materials. Prepare materials for mailing.
  • Maintain positive and professional interpersonal relationships and always represent the best interests of the city. Remain sensitive to language and cultural differences of clients and staff.
  • Operate computer equipment to process data, produce spreadsheets, and maintain records. Update files as needed.
  • Investigate and resolve problems presented by residents/public.
  • Research, plan, compose, and distribute written communications such as informational letters, news releases, newsletters, statistical, monthly, quarterly, and yearly reports, promotional materials, and meeting notices.
  • Collect fees, make receipts, deposits money, maintains financial records, and prepares reports of daily receipts. Submit bills, vouchers, receipts, deposits, and the like to appropriate offices, departments, or agencies.
  • Prepare schedules for senior activities and staff assignments, as needed.
  • May be involved in various special projects as assigned, handling related correspondence, maintaining records, and serving as liaison for specific programs, assisting the public, providing related assistance, and answering questions.
  • Maintain an inventory of office/departmental equipment, supplies, forms, and materials. Order and/or pick up items as needed.
  • Arrange for repairs on office equipment as necessary.
  • Perform other related clerical duties specific to an assigned area.
