About the Role

We are seeking a highly organized and detail-oriented Event Coordinator to join our team at Mount Alverno Resort and Retreat. As an Event Coordinator, you will be responsible for planning and executing conferences, meetings, and special events from start to finish.

Key Responsibilities
  • Financial Management
    • Assist in preparing financial reports to ensure accurate budgeting and forecasting.
    • Prepare, present, and manage budgets to ensure successful event execution.
  • Event Planning
    • Promote conference and meeting services or special events to attract clients and increase revenue.
    • Recruit, hire, and supervise staff and/or volunteers to ensure seamless event execution.
    • Determine requirements for hospitality services, signage, multi-media equipment, printing, and other technical services, and arrange for and manage contracts for these services.
  • Logistics and Coordination
    • Co-ordinate and monitor conference and meeting activities and attend to related details.
    • Co-ordinate set-ups, staging, seating, parking, communication systems, and other details for special events.
    • Plan and arrange for accommodation and transportation services.
  • Registration and Communication
    • Develop registration systems and information materials to ensure smooth event registration and communication.
    • Plan for traffic and crowd control and security to ensure a safe and enjoyable event experience.
    • Plan for social events and guest programs to enhance the overall event experience.
  • Reporting and Evaluation
    • Prepare final financial and other reports to evaluate event success and identify areas for improvement.
Requirements
  • Education
    • College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience
    • 1 year to less than 2 years of experience in event planning, coordination, or a related field.
  • Skills
    • Excellent organizational and time management skills.
    • Strong attention to detail and ability to multitask.
    • Excellent communication and interpersonal skills.
    • Ability to work under pressure and meet deadlines.
    • Proficiency in MS Office, including Access, Excel, Outlook, PowerPoint, and Word.
Working Conditions

The Event Coordinator will work in a fast-paced environment with tight deadlines and will be required to work under pressure to ensure successful event execution.
