About the Role

We are seeking a highly organized and detail-oriented Executive Assistant to join our team at Canadian Forces Morale and Welfare Services - CFMWS. As an Executive Assistant, you will provide administrative support to the division head and management team, ensuring seamless day-to-day operations.

Key Responsibilities
  • Manage the agenda for the division head, scheduling appointments and meetings, coordinating travel arrangements, and preparing site visit agendas and documentation.
  • Prepare travel claims and expense reports, manage correspondence and inquiries, and organize and plan conferences and meetings.
  • Manage the acquisition of division supplies, equipment, services, and accommodation, recording financial transactions and assisting in the preparation of the division's budget.
  • Control and coordinate Access to Information and Privacy requests referred to the division.
Requirements
  • College diploma or certificate in Administration, Office Administration, Secretarial Science, or a related field.
  • Experience in office administration and project management, developing and implementing administrative and office procedures, applying policies and procedures, budget administration, records management, maintaining filing systems, drafting correspondence and reports, and making travel arrangements.
  • Competencies in client focus, organizational knowledge, communication, innovation, teamwork, and leadership.
  • Bilingualism is essential, with advanced reading, functional writing, and advanced oral skills.
