KAYZEN CLOUD SOLUTIONS is a dynamic and fast-paced organization seeking an experienced Executive Office Coordinator to join our team. As an integral part of our administrative department, you will be responsible for providing exceptional support to our senior management team.

Salary and Benefits

The estimated salary for this position is $45,000 - $55,000 per year, depending on experience and qualifications. Additionally, we offer a comprehensive benefits package including health, dental, and vision insurance, as well as a generous retirement plan.

Job DescriptionKey Responsibilities
  • Implement new administrative procedures to improve efficiency and productivity;
  • Review and evaluate existing administrative procedures to ensure compliance with regulatory requirements;
  • Delegate work to office support staff to maximize their skills and expertise;
  • Establish clear work priorities and ensure that all tasks are completed within set deadlines;
  • Administer policies and procedures related to the release of records in accordance with government access to information and privacy legislation;
  • Coordinate and plan for office services such as accommodation, relocation, equipment, supplies, forms, disposal of assets, parking, maintenance, and security services;
  • Assist in the preparation of operating budget and maintain inventory and budgetary controls;
  • Assemble data and prepare periodic and special reports, manuals, and correspondence;
  • Perform data entry tasks to ensure accuracy and timeliness;
  • Train staff members on new policies and procedures to ensure they are up-to-date and compliant;
  • Oversee and coordinate office administrative procedures to ensure seamless operations;
  • Oversee payroll administration to ensure timely payment and compliance with regulations;
  • Plan and control budget and expenditures to achieve cost savings and optimize resources.
Required Skills and Qualifications
  • Mastery of Microsoft Office Suite, particularly Excel, Word, and PowerPoint;
  • Excellent organizational and time management skills to prioritize tasks and meet deadlines;
  • Strong communication and interpersonal skills to effectively interact with colleagues, clients, and external stakeholders;
  • Ability to multitask and adapt to changing priorities and circumstances;
  • Flexibility to work in a fast-paced environment with tight deadlines and attention to detail.
