Administrative Assistant, Operations

Description
The Administrative Assistant, Operations plays a vital role in supporting the Chief Operating Officer and the entire Operations team at Hub International Quebec Limited.
Their responsibilities include, but are not limited to:
- Providing administrative support to the COO in their daily tasks;
- Attending operations meetings and taking minutes;
- Preparing and sending various communications;
- Developing and delivering presentations;
- Reviewing and translating documents;
- Coordinating meetings and events;
- Assisting with training logistics and sending out invitations;
- Managing PDUs with ChAD: following up on employee files and entering PDUs on the ChAD portal during in-house training sessions;
- Managing the COO's agenda and expense account.
Job Requirements
Technical skills
- Diploma in office automation, secretarial studies, or equivalent;
- Excellent knowledge of Microsoft Suite (Word and Excel);
- Excellent command of French and English (oral and written).
Personal skills
- Attention to detail, precision, and attention to detail;
- Strong organizational skills;
- Proven ability to work in a dynamic environment, setting priorities;
- Flexibility;
- Discretion;
- Demonstrating good team spirit.
Complementary skills
- Knowledge of EPIC software, an asset;
- Valid AMF permit - Property and casualty insurance, an asset.
Specific working conditions
- Flexible working hours may be required, including office presence at least three days a week.
