Job Summary

The Centre for Addiction and Mental Health is seeking an Administrative Assistant to provide confidential, executive-level administrative support to the Director, Continuing & Community Education, and other members of the leadership team.

Key Responsibilities

  • Provide administrative support to the Director, Continuing & Community Education, and other members of the leadership team
  • Manage the schedule of the Directors and other members of the leadership team
  • Coordinate communications to relevant stakeholders
  • Compose and edit documents, including memos, letters, reports, and contracts
  • Assist with grant/funding proposals
  • Take minutes as required
  • Monitor budgets and assist with the development of annual submissions and reports
  • Coordinate requests for procurement documents
  • Process invoices, create invoices, track expenses, submit credit card reconciliation statements, submit purchase requisitions, order equipment and supplies, and maintain equipment and supplies storage structures

Requirements

  • Bachelor's Degree or Community College diploma/certificate in a related field
  • Three to five years of secretarial/administrative experience within the community/public sector
  • Superior interpersonal, planning, time management, organizational, problem-solving, and customer service skills
  • Strong writing and editing skills, including the ability to proofread documents and write meeting summaries and other documents for both internal and external audiences
  • High degree of confidentiality, tact, and discretion in all situations
  • Advanced PC skills, particularly with Microsoft Office applications (Outlook, Word, Excel, PowerPoint)
  • Experience working with clients, staff, and organizations serving diverse groups
