Position Overview

The primary aim of the Claims Team at Facility Association is to manage aspects related to Large Loss Claims, Run-Off Claims, the Uninsured Automobile Fund, and Judgement Recoveries.

Do you have over 3 years of experience in claims data entry or administrative roles, preferably in an office environment, and are you eager to learn new software while contributing to a team? Key Responsibilities:

  • Email Management: Effectively triage and oversee the FA Claims mailbox and Invoice mailbox, ensuring timely handling of all communications.
  • Database Management: Diligently maintain and promptly update the Claims Database.
  • Committee Assistance: Aid in the preparation of materials for Claims Committee meetings, provide support during discussions, and manage follow-ups post-meeting.
  • Invoice Assessment: Assist the Senior Claims Analyst by reviewing and processing invoices, ensuring precision and compliance.
  • Large Loss Claims Documentation: Scrutinize Large Loss Claims Forms for accuracy and completeness.
  • Document Management: Oversee the filing of all documentation, including claim files and correspondence, ensuring confidentiality and secure handling of information.
  • Inquiry Management: Address inquiries from the public, project managers, claimants, contractors, insurers/adjusters, lawyers, and other stakeholders.
  • Collaboration: Coordinate with Risk Sharing Pool Members and Servicing Carriers as necessary.
  • Special Initiatives: Participate in projects aimed at enhancing the efficiency and effectiveness of the Claims Team.
  • Process Enhancement: Assist in developing and implementing systems to improve operational efficiency.
  • Additional Responsibilities: Perform other duties as assigned, in line with job responsibilities or departmental objectives.

Qualifications:

  • Education: A Community College Diploma is required. Progress towards a CIP designation is advantageous.
  • Experience: A minimum of 3 years of experience in automobile claims processes and procedures is essential.
  • Technical Proficiency: Strong skills in MS Office, particularly in document management, with experience in MS Access being beneficial.
  • Attention to Detail: A strong capability to manage and process information accurately, ensuring that all tasks are executed to the highest standard.
  • Communication Skills: Excellent interpersonal skills with the ability to communicate effectively and professionally with both internal and external stakeholders.
  • Time Management: Outstanding organizational skills with the ability to juggle multiple tasks and meet deadlines.
  • High Volume Experience: Proven ability to efficiently manage and process a large volume of claims documents or related tasks while maintaining accuracy.
  • Analytical Skills: Ability to analyze and resolve issues using a structured and methodical approach.
