Service Department Coordinator

We are seeking a highly skilled and organized Service Department Coordinator to join our team at The 401 Group of Companies. In this role, you will be responsible for handling all support aspects of the service department, including internal work order administration, warranty claims administration, and customer experience coordination.
Key Responsibilities- Assist customers in peak times as a backup to our service advisors and parts counter.
- Maintain an excellent relationship with the new and used car departments, quoting repairs, scheduling work, meeting reconditioning deadlines, and estimates.
- Enter and manage warranty claims through the manufacturer's portal and correctly invoice paid claims in the DMS.
- Facilitate the sales-to-service customer handoff through explanation of service menu and maintenance requirements and booking first appointments.
- Follow up pre-booked appointments prior to initial service visits and missed service appointments.
- Assist with incoming customer inquiries by phone, email, or in-person, to ensure a responsive customer experience.
- Maintain the customer facility condition and materials for customer experience, such as sanitation products and lounge amenities.
- After service contact and follow up, ensuring peak customer satisfaction and manufacturer experience standards.
- Handle initial contact for after-service inquiries, issues, complaints, and engage with the Service Manager for handling.
- Ensure compliance with all manufacturer service and warranty standards regarding paperwork, technician documentation, and filing systems.
- Valid G driver's license.
- Clean driver's abstract.
- Ability to work rotating Saturdays.
- PBS experience is a definite asset.
- Previous Service advisor with a proven track record is considered an asset, however, we will train the right person for the role.
- A very positive person who must possess excellent computer skills and ability to multi-task in a fast-paced environment.
