About the Role:

The University of Toronto is seeking an Executive Assistant to provide administrative support to the leadership team of the Assistant Dean, Student Wellness, Support and Success. The successful candidate will be responsible for coordinating day-to-day operations, managing calendars, and planning events. This is a full-time, term position ending April 15, 2026.

Key Responsibilities:

  • Provide administrative support to the leadership team, including calendar management, project coordination, and event planning.
  • Coordinate day-to-day operations, including scheduling meetings, booking travel, and managing budgets.
  • Liaise with other campus departments to support initiatives and events.
  • Manage sensitive and confidential information, including health information and financial data.
  • Develop and maintain procedures for administrative activities and objectives.
  • Apply established standards when administering staff human resource needs.

Requirements:

  • Bachelor's Degree or acceptable combination of equivalent experience.
  • Minimum five years experience in administration support role, handling multiple executive schedules and administrative needs.
  • Experience maintaining multiple senior staff calendars.
  • Experience scheduling travel plans, including bookings flights and appropriate accommodations.
  • Experience with planning events for students, including conceptualizing, organizing and executing event details.
  • Attention to detail and ability to manage complex situations, requests, or support needs.
  • Understanding of student affairs and services departments, specifically a deep understanding of health services, accessibility and accommodations, and athletics and recreation.
  • Ability to manage competing priorities.
  • Interpersonal skills, ability to establish trust and competency in working with senior administrators, faculty and staff, students and their families, student leaders, and community members.
  • Financial skills related to purchase orders, expenses, reconciliations.
  • Strong customer service skills.
  • Ability to manage distressed students.
  • Planning and organization skills.
  • Strong written and verbal communication skills.

Assets:

  • Additional certificates in event management or admin assistant would be preferred or considered an asset.
