Job Summary

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at BMO. As a key member of our Wealth Management team, you will provide exceptional client service and support to our Investment Advisors and clients.

Key Responsibilities
  • Coordinate marketing activities, including website and social media initiatives, to promote our advisory team and services.
  • Assist with client meetings, including scheduling appointments and preparing materials.
  • Handle client inquiries and requests, including basic money movement, technology issues, and account opening and updates.
  • Generate reports and documents for Investment Advisors and clients as requested.
  • Maintain and organize client databases and files.
  • Ensure transactions and tasks are assigned and completed by team members.
  • Provide technical support and training to team members on new technology and systems.
  • Gather and distribute information on updates to training, guidelines, and business-related information.
  • Develop strong relationships with clients to promote a positive experience and credibility.
  • Follow risk and compliance processes to ensure client assets are safeguarded and regulatory requirements are met.
Requirements
  • 1-2 years of relevant experience and a post-secondary degree in a related field, or an equivalent combination of education and experience.
  • Knowledge of wealth management company operations and products is an asset.
  • Familiarity with technology applications and software used in the financial planning and investment industry.
  • Successful completion of the Canadian Securities Course and Conduct and Practices Handbook exam within 18 months of hire.
  • Basic specialized knowledge and good verbal and written communication skills.
