Job Summary


The Office Assistant/Receptionist provides administrative support to the Mental Health Services team. Key responsibilities include:


Reception Services



  • Answering telephones and transferring calls to appropriate staff
  • Maintaining master appointment books for all staff
  • Providing front-line screening services, including taking information and assessing situations to determine urgency

Administrative Support



  • Typing and preparing routine correspondence, reports, and assessments
  • Processing client information forms and registering/discharging files as required
  • Maintaining office files, including filing reports and correspondence

Other Responsibilities



  • Sorting and preparing outgoing mail
  • Setting up appointments and arranging meetings
  • Recording leave management information and performing other related duties as assigned

Requirements


To be successful in this role, you will require:


Education and Experience



  • Grade 12, plus completion of a recognized Medical Office Assistant certificate
  • One year's recent, related experience or an equivalent combination of education, training, and experience

Skills and Abilities



  • Ability to type 45 wpm
  • Knowledge of medical terminology
  • Ability to operate multi-line switchboard and related equipment
  • Comprehensive knowledge of relevant acts, regulations, programs, policies, and procedures
