About the Role:

Altis Recruitment is seeking an experienced Medical Administrative Assistant to support a dynamic team of healthcare professionals in a hospital setting. The successful candidate will play a key role in ensuring the smooth operation of administrative functions, specifically for surgeons.

This is a full-time contract role with potential for extension, based entirely on-site in downtown Toronto.

Responsibilities:

  • Provide comprehensive administrative, organizational, and secretarial assistance to the physician.
  • Prepare and manage correspondence, reports, and schedules; handle phone calls; sort and distribute mail; maintain organized files; and manage supply orders.
  • Schedule diagnostic tests, surgical procedures, and patient admissions, and process computerized OHIP billing submissions as well as accounts payable and receivable.
  • Coordinate and oversee various research projects, including budget tracking, managing staffing activities, and organizing meetings.
  • Assist in preparing research documents, educational materials for lectures and seminars, and grant proposals or publications.
  • Handle general office tasks, such as answering phones, booking appointments, coordinating meetings, and welcoming patients.
  • Draft patient communications, letters, manuscripts, slide presentations, and other related documents.
  • Manage OHIP billing processes.
  • Book patient procedures, explain details, and provide preparation instructions.
  • Complete general clerical duties, including filing and photocopying.
  • Take on additional responsibilities as required.

Requirements:

  • Minimum 3 years of experience in a Medical Administrative role.
  • Proficiency with EPIC software is required.
  • Graduate of a recognized Medical Administration program.
  • Strong communication skills (100% fluent in English, both verbal and written).
  • Experience working with surgeons or Acute Care Settings is an asset.
  • Highly responsive, organized, and detail-oriented.
  • Demonstrated ability to work in a fast-paced environment.

Compensation:

The estimated salary range for this position is $45,000 - $55,000 per annum, depending on experience.
