Job Description

This role involves consolidating various on-site financial supports into one position. The primary responsibilities include on-site financial support for Account Receivable (AR) & Revenue cycle, Account Payable (AP) & Procurement cycle.

The successful candidate will provide office administration support across all departments and management level for the site. This requires being able to multi-task to meet the department needs of working with multiple managers and assignments simultaneously.

Key Responsibilities:
  • To ensure 100% billing accuracy by verifying the completeness of essential information prior to invoicing. Essential information includes client PO#, client's AP contact, bill-to address, and back-up support such as quotation, sample submission form, client PO, signed and dated Certificate of Analysis (CofA).
  • To comply fully with SGS Procurement Policy with respect to the specific purposes and restrictions of Requisition/Purchase Order (PO).
  • To comply fully with SGS Procurement Policy with respect to the specific purposes and restrictions of Purchase card (P-card) usage.
  • To cover the front desk on switchboard, answer telephones, and direct calls as needed.
  • To manage inventory of office and printing supplies.
  • To open all incoming mail, courier all vendor invoices to Head Office on a weekly basis, redirect other mail to the appropriate person on-site.
  • To report daily cheque receipt and courier to PO Box in accordance with instructions.

Qualifications:

  • Education: College Diploma
  • Experience: Over 1 year of previous working experience in an administrative related role
  • Ensures full compliance with the company's Health & Safety, Code of Integrity, and Professional Conduct policies.
  • Proactive work ethics, able to work in a fast-paced environment with strong attention to detail.
  • Demonstrates excellent verbal and written communication skills including grammar and composition.
  • Must be able to read, understand, and follow work instructions in a safe, accurate, and timely manner.
