Job Description

We are seeking a highly skilled and experienced Executive Support Professional to join our team at Dairy Max. As an Administrative Team Lead, you will be responsible for providing exceptional administrative support to our executive team and ensuring the smooth operation of our daily activities.

Key Responsibilities:

  • Coordinating Seminars and Conferences: You will arrange and coordinate seminars, conferences, and other events, ensuring seamless execution and logistics.
  • Team Collaboration: You will facilitate effective communication within the team, ensuring timely information exchange and streamlined workflow.
  • Daily Operations Management: You will direct and control daily operations, prioritizing tasks, and managing multiple projects simultaneously.
  • Mail and Material Distribution: You will receive, sort, and distribute mail and other materials, maintaining a well-organized office environment.
  • Policies and Procedures Implementation: You will establish and implement policies and procedures, ensuring compliance and efficiency.
  • Training and Development: You will provide training and guidance to other team members, enhancing their skills and knowledge.
  • Meeting Minutes and Records: You will record and prepare minutes of meetings, seminars, and conferences, maintaining accurate records.
  • Office Procedures and Routines: You will determine and establish office procedures and routines, streamlining workflows and improving productivity.
  • Scheduling and Confirmations: You will schedule and confirm appointments, meetings, and events, ensuring punctuality and professionalism.
  • Contract Management: You will manage contracts, agreements, and other documents, ensuring compliance and accuracy.
  • Communication and Reception: You will answer telephone calls, relay messages, and respond to electronic inquiries, providing excellent customer service.
  • Data Compilation and Analysis: You will compile data, statistics, and other information, analyzing trends and patterns to inform business decisions.
  • Inventory Management: You will order office supplies, maintain inventory, and ensure timely replenishment, minimizing waste and optimizing resources.
  • Travel Arrangements: You will arrange travel, itineraries, and reservations, ensuring efficient and cost-effective transportation.
  • Visitor Greeting and Direction: You will greet visitors, directing them to relevant contacts or service areas, providing a warm and welcoming experience.
  • Information Filing Systems: You will set up and maintain manual and computerized information filing systems, ensuring easy access and retrieval of critical documents.
  • Document Preparation and Proofreading: You will type and proofread correspondence, forms, and other documents, ensuring accuracy and professionalism.
  • Data Entry: You will perform data entry tasks, accurately capturing and recording vital information.
  • Digital Database Management: You will maintain and manage digital databases, ensuring data integrity and security.
  • Basic Bookkeeping: You will perform basic bookkeeping tasks, including invoicing, reconciliations, and financial reporting.
Computer and Technology Requirements

To excel in this role, you should possess strong technical skills, including proficiency in MS Excel, MS Outlook, MS PowerPoint, and MS Word.

Salary Information: We offer a competitive salary of approximately $55,000 per year, based on industry standards and market conditions.
