Job OverviewPosition SummaryWe are seeking a part-time Office Manager and Finance / Admin Support for our Vancouver office. This role is ideal for individuals looking to re-enter the workforce, particularly parents who require a schedule that aligns with school hours and holidays. The successful candidate will be responsible for overseeing office operations, managing administrative tasks, and supporting our finance and recruiting activities.
Key Responsibilities- Support the Resource Manager by maintaining project lists, updating proposals and opportunities, and flagging capacity in the consulting team.
- Compare time allocated to projects: actual to plan and highlight deviations for the managing partner.
- Assist with the recruitment process, including posting job openings, scheduling interviews, and onboarding new employees.
- Review and manage revenue, produce reports (revenue by clients, consultant, partner, etc.).
- Manage office supplies, coordinate maintenance of office equipment, and ensure the office environment is organized and professional.
- Provide administrative support to senior management, including scheduling, correspondence, and travel arrangements.
- Coordinate and organize office events and meetings, including catering and venue arrangements.
- Ensure office policies and procedures are followed and update as necessary.
- Maintain and organize office files and records, both physical and electronic.
- Liaise with external vendors and service providers to ensure smooth office operations.
- Maintain accurate financial records, manage accounts payable and receivable, and handle payroll.
- Ensure timely filing and payment of GST and corporate tax installments.
- Finance Background: Proven experience in bookkeeping, GST, corporate tax installments, and revenue management.
- Administrative Skills: Strong organizational and multitasking abilities, with attention to detail.
- Communication: Excellent written and verbal communication skills.
- Technical Proficiency: Proficiency in Microsoft Office (Word, Excel, PowerPoint) and accounting software.
- Problem-Solving: Ability to troubleshoot and resolve issues independently.
- Team Player: Ability to work collaboratively and create an inclusive environment.
- Time Management: Effective time management skills to handle multiple tasks efficiently.
- Eligibility: Must be eligible to work in Canada and onsite.
