About the Role

This Administrative Assistant position provides exceptional administrative support while developing and implementing support systems. The successful candidate will work in a confidential, multitasking environment and be responsible for scheduling client appointments, tracking email and telephone inquiries, and developing marketing strategies to attract prospects and engage existing clients.

Key Responsibilities

  • Schedule client appointments (in-person/phone/virtual)
  • Track and respond to email and telephone inquiries from prospects and clients
  • Develop marketing strategies to attract prospects and engage existing clients
  • Organize, schedule, and participate in client/prospect events
  • Redirect emails and phone messages
  • Create prospect files and download applicable forms for consultant accessibility
  • Download applicable documents/forms for clients and have accessible to consultant
  • Update client files with instructions, scanned documents, meeting details
  • Prepare documents for signatures/e-signatures
  • Follow up with other financial institutions for fund transfers
  • Support clients in signing up for Online Access and opting-in for e-delivery of account statements
  • Process/review and follow up on daily transactions regarding client accounts until completed Keep clients informed of applicable account changes and confirm transactions are completed Run reports as required by the Consultant

Requirements

  • Post-secondary education
  • Two or more years of administrative experience, preferably in the financial services industry
  • Strong computer skills, including working knowledge of Office 365 product suite: Outlook Word PowerPoint Excel Teams
  • Strong technology skills, including the ability to learn and incorporate new software/tools quickly and apply its full range of capabilities
  • Experience with client relationship management systems (Salesforce)
  • Excellent organizational and communication skills
  • Strong attention to detail and ability to work independently is required
  • Demonstrated exceptional client service and support
  • Excellent time management skills with the ability to quickly adapt to competing priorities and time restrictions
