About the Role

The Receptionist (Full-time) Coordinator is a vital member of our team at Century Group, responsible for providing exceptional customer service and administrative support to our residents and staff. This role requires a high level of organization, attention to detail, and effective communication skills.

Key Responsibilities

  • Greets and directs visitors, handles daily resident requests and inquiries, and maintains a safe and welcoming environment.
  • Performs various administrative tasks, including typing, computer work, and filing, to ensure efficient operation of the business.
  • Sorts and distributes incoming and outgoing mail, receives or directs all deliveries or returns, and maintains a communication log.
  • Coordinates move-in and out activities, including elevator lock-off and key distribution, and assists with familiarizing new residents with the building and its services.
  • Manages key controls, maintains resident records and information, and is responsible for various accounts, including guest and staff meals.
  • Scans, matches, and processes invoices for review and payment, and maintains office supplies by implementing purchasing, ordering, and inventory control policies.
  • Coordinates events, such as movies and card games, with the Recreation team, and ensures equipment is available and set up for residents.
  • Conducts morning resident safety checks, tray service requests, maintenance and housekeeping work orders, tuck shop purchases, key distribution, and other related activities.
  • Types and distributes meeting minutes, such as Occupational Health and Safety and staff meetings, as requested.
  • Familiarity with fire and emergency procedures and ability to act as the Fire Warden when situations dictate. Responds to health, fire, resident, maintenance, or other emergencies in accordance with policy and procedures.
  • Completes security checks of the building between 11:00 pm and 7:00 am (night shift only).
  • Reports any concerns regarding the health or well-being of residents and maintenance staff.
  • Completes incident reports and manages resident interactions with tact and confidentiality.
  • Assists with dining room and laundry tasks if schedule permits.
  • Maintains common areas on the main floor and ensures office equipment and supplies are used and stored safely and efficiently.
  • Reports any unsafe or faulty equipment to the General Manager.
  • Maintains resident rights of privacy and confidentiality, except in the proper operation of the business.
  • Maintains a current knowledge of and complies with all community policies and procedures.
  • Performs other related duties as assigned.

Requirements

  • Minimum Grade 12 and Receptionist or Administrative Assistant training from a recognized business program/school required or an equivalent combination of education, training, and experience.
  • Minimum of two (2) years recent office experience, preferably in a receptionist role and in a seniors environment.
  • Demonstrated computer skills, including proficiency using Google apps such as Google Docs, Sheets. Basic accounting skills.
  • Current Level One First Aid required.

  • Ability to establish and maintain good interpersonal relations by displaying tact, courtesy, and patience with residents, staff, family members, volunteers, and visitors.
  • Demonstrated ability to safely and efficiently operate all equipment associated with the duties of the position.
  • Ability to organize and prioritize the daily workload in an effective and efficient manner.
  • Resourceful, creative, and adaptive in dealing with individual resident families and others, with empathy for and understanding of the needs of our residents.
  • Able to work independently with minimal supervision.
