Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at SP Legal Services Professional Corporation.

Key Responsibilities:
  • Assist with staff consultation and grievance procedures, ensuring a fair and respectful work environment.
  • Coordinate the flow of information within the team, maintaining open communication channels.
  • Direct and control daily operations, prioritizing tasks and managing time effectively.
  • Evaluate daily operations, identifying areas for improvement and implementing changes as needed.
  • Open and distribute mail and other materials, ensuring timely delivery and organization.
  • Plan and organize daily operations, creating schedules and itineraries as required.
  • Supervise other workers, providing guidance and support to ensure successful task completion.
  • Record and prepare minutes of meetings, seminars, and conferences, maintaining accurate records.
  • Schedule and confirm appointments, ensuring seamless coordination with colleagues and external parties.
  • Manage contracts, ensuring compliance with company policies and procedures.
  • Answer telephone and relay telephone calls and messages, providing excellent customer service.
  • Answer electronic enquiries, responding promptly and professionally.
  • Compile data, statistics, and other information, analyzing and presenting findings as required.
  • Advise senior management, providing expert guidance and recommendations.
  • Greet people and direct them to contacts or service areas, ensuring a warm and welcoming environment.
  • Type and proofread correspondence, forms, and other documents, maintaining high standards of accuracy and quality.
  • Conduct research, gathering and analyzing information to support business decisions.
  • Perform data entry, ensuring accurate and efficient processing of information.
  • Provide customer service, responding to inquiries and resolving issues promptly and professionally.
  • Maintain and manage digital databases, ensuring up-to-date and accurate information.
  • Supervise office and volunteer staff, providing guidance and support to ensure successful task completion.
