About the Role

The Executive Administrative Assistant will provide administrative support to the Private Markets Group, serving executives and management staff, including Senior Managing Directors, Managing Directors, Directors, and Principals. The role will involve coordinating meetings, managing calendars, and providing other support services as needed.

Key Responsibilities
  • Coordinate meetings, including Board meetings, and manage calendars for Senior Managing Directors and other team members.
  • Manage bi-weekly reports and ensure accurate data entry into CRM and deal management systems.
  • Prepare and distribute materials for reports, presentations, and meetings, adhering to established procedures and formats.
  • Coordinate travel arrangements, manage invoices and expenses, and reconcile accounts.
  • Liaise with internal and external stakeholders, service providers, and business partners.
  • Perform other administrative or operational duties as required, including support to other groups within OPTrust.
Requirements
  • 4 years of administrative experience in a fast-paced organization, preferably in the financial services industry.
  • Demonstrated professional experience in organizational skills, ability to efficiently multi-task, and prioritize work.
  • Proficient in Microsoft Office and Adobe applications, with experience using CRM systems an asset.
  • Strong communication and interpersonal skills, with the ability to interact effectively at all levels of the organization.
  • Discretion and good judgment required for dealing with sensitive and confidential matters.
