Job Description:

The New Brunswick Extra Mural Program is seeking a highly skilled and detail-oriented Administrative Support Specialist to join our team. As an Administrative Support Specialist, you will be responsible for providing administrative support services to the EMP Unit.

Duties and Responsibilities:

  • Registration/Admission Duties:
    • Provide receptionist duties such as answering telephone calls, greeting visitors, taking and relaying messages
    • Process referral requests; enter physicians' orders
    • Admit, transfer, register, and discharge patients
    • Assemble, disassemble and maintain charts; file reports
  • Fleet Maintenance Duties:
    • Coordinate vehicle fleet maintenance such as repairs, cleaning, and annual inspection
    • Ensure vehicles are assigned to employees; maintain all related vehicle documentation
  • Administrative Support Duties:
    • Create and type documents such as reports, letters, forms, tables
    • Perform general office duties such as photocopying, faxing, filing, processing mail
    • Maintain the inventory of office equipment and medical supplies
    • Compile statistics and produce reports such as admissions, daily visits, discharges, travel, and education
    • Enter payroll information, maintain employee timesheets and arrange for the replacement of short notice absences
    • Verify codes and submit invoices for payment
    • Maintain petty cash account
    • Schedule meetings; record, type and distribute minutes
    • Arrange travel and submit expense forms
    • Update policy and procedure manuals
    • Ensure sharp containers are properly secured and forwarded to the appropriate location
    • Maintain inventory of medical equipment, label new equipment, and ensure equipment is cleaned and maintained

Required Qualifications and Other Job Requirements:

  • Education:
    • High school graduation plus an administrative support program of over one year and up to two years, which includes medical terminology/transcription courses
  • Experience:
    • One year of previous work experience is required
  • Skills:
    • Demonstrated proficiency in Microsoft Applications (Beginner Level) including Word, Excel, Outlook, PowerPoint, Typing, Medical Terminology, Data Entry
  • Certifications:
    • Submit a valid and clean criminal record check
  • Priorities:
    • Must demonstrate the ability to work efficiently as a member of the team and possess strong interpersonal skills, good judgment and decision making skills
    • Must be able to work all shifts as assigned, maintaining a good attendance record
    • Must have a high regard for confidentiality
    • Must have excellent work habits and have a professional appearance
