Position Overview

The Business Systems Analyst II (BSA II) plays a crucial role in enhancing business processes and systems related to ERP and organizational operations. The BSA II collaborates with various functional teams, service providers, and business stakeholders to define and refine current and future business workflows, conducting thorough needs assessments and translating those requirements into actionable technology specifications. This role involves facilitating group discussions and performing business process evaluations to identify improvement opportunities and map out new workflows, prioritizing and documenting business needs effectively.

Key Responsibilities

Planning and Analysis

  • Assess existing systems and their integration with the corporate ERP (PeopleSoft HR) system, pinpointing areas for enhancement and addressing issues with corrective measures.
  • Engage with internal and external stakeholders to strategize process definitions, gathering insights to recommend and design system modifications that align with both current and future requirements.
  • Lead collaborative sessions with business owners, stakeholders, and system users to ensure effective adoption of new systems and modifications.
  • Review client requirements to guarantee completeness and explore alternatives. Define project objectives and scope while developing comprehensive functional specifications.
  • Provide expert guidance to identify future business practices and suggest system functionalities.
  • Present designs to clients and, upon approval, collaborate with client teams to implement solutions.
  • Partner closely with the Manager of Enterprise Software Solutions to plan and execute system changes based on business needs.

Requirements Management

  • Define and document detailed requirements throughout all project phases, including a traceability matrix to ensure comprehensive coverage and alignment with specifications.
  • Collaborate with the internal HR Technology team to gather business requirements, processes, and recommendations to meet user needs and system specifications, ensuring clarity in documentation.
  • Work alongside PeopleSoft developers to implement technical adjustments to the HR system and evaluate outcomes.
  • Develop intricate system functional specifications for reports, interfaces, conversions, modifications, customizations, and extensions.
  • Ensure that updates and changes to application configurations comply with change management and security protocols.
  • Successfully deliver new or revised functional specifications and application user-level configurations.
  • Document testing scenarios, scripts, issues, resolutions, and provide UAT support, collaborating with the project team to adhere to timelines and escalate risks as necessary.

Quality Assurance

  • Participate in quality assessments of team deliverables, ensuring adherence to established project and business analysis methodologies.
  • Develop appropriate test cases to verify that planned functionalities meet the business requirements of relevant institutional areas.
  • Proactively manage risks, foresee challenges, investigate issues, and provide recommendations that may impact multiple functions.

Training and Support for Project Delivery

  • Collaborate with Organizational Change Management, business owners, and designated training personnel.
  • Assist in business process training, including updates to training materials and documentation, and coordinate/deliver training in various formats.
  • Maintain adaptability in project methodologies, whether waterfall, agile, or hybrid.
Qualifications

Education

  • Post-Secondary Credential in Computer Science, Business Administration, Management Information Systems, or a comparable combination of education and experience.
  • ERP Functional Analyst / Business User Certification, Business Analyst Certification is preferred.

Experience

  • A minimum of five (5) years of practical experience in a Business Analyst capacity, with a primary focus on PeopleSoft HR systems analysis and programming.
  • Experience in configuring any of the PeopleSoft modules– Core HR, Workforce Administration, Base Benefits, Time and Labor, Absence Management, and Canadian Payroll.
  • Familiarity with the integration of functional and technical enhancements.

Skills

  • Strong investigative, research, analytical, and problem-solving abilities.
  • Capability to manage multiple demands and competing priorities while meeting deadlines.
  • Comprehensive knowledge of business analysis and integration best practices.
  • Proficient understanding of structured analysis and prototyping techniques, with the ability to adapt to changing requirements, along with knowledge of PS Query and SQL scripting.
  • Proficient in MS Office tools, Project, Visio, and analytical reporting tools.
  • Well-developed interpersonal, customer service, and communication skills (both verbal and written) to interact effectively with diverse individuals.
