Position Overview

Northern Health Authority is seeking a skilled, highly organized, and proactive permanent part-time Tele-Care Administrative Support Specialist to assist the Primary & Community Care division.

In alignment with Northern Health's vision of an integrated service system where individuals and their families receive primary care in supportive environments, the Tele-Care Administrative Support Specialist plays a crucial role within the Tele-Care interprofessional team.

As a vital team member, the Tele-Care Administrative Support Specialist aids healthcare providers and the Tele-Care Interprofessional Team in delivering safe, efficient, and high-quality Primary Services through virtual support mechanisms.

The Tele-Care Administrative Support Specialist is responsible for both operational and clerical support within the virtual Tele-Care clinic, adhering to Northern Health policies and procedures.

This role includes managing workspace within the Medical Office Information System (MOIS). The Specialist is tasked with formatting consultations for primary care providers across the Northern Health region and occasionally beyond; verifying and dispatching lab requisitions to the nearest testing facilities; assisting with scheduling public health and Medical Health Officer requests; following up on inquiries regarding lab requisitions and test outcomes from patients, providers, and testing facilities; sending medical notes to patients and aiding them in accessing their secure messages; and ensuring that all calls are concluded or transitioned to the next provider as necessary.

The Specialist must also ensure consistency in appointment scheduling, confirming that appointments are displayed on the correct date and daybook, and are scheduled or rescheduled as needed.


Work Schedule: Days - 08:00 to 16:30, Rotating

Qualifications

  • High School Diploma.
  • Completion of an Office Assistant Course from an accredited Community College, plus two years of recent, relevant experience in a healthcare environment.
  • Alternatively, an equivalent combination of education, training, and experience.
  • Clinical background is preferred.
Skills and Competencies:

  • Proven experience with MOIS.
  • Strong attention to detail and adherence to specific processes.
  • Understanding of clinical and clinic operations.
  • Ability to manage and prioritize multiple tasks effectively.
  • Capability to work collaboratively within an integrated administrative team.
  • Proficient in both written and verbal communication.
  • Typing speed of 40 WPM.
  • Competence in operating relevant equipment.
  • Ability to follow detailed instructions accurately.
  • High degree of tact and diplomacy in interactions.
  • Compliance with staff and patient safety practices and policies.
  • Knowledge of Medical Terminology.
  • Ability to thrive in a fast-paced virtual healthcare environment.
  • Proficiency in word processing, spreadsheet applications, and specialized clinical information systems.
  • Physical capability to perform the duties of the position.
