Job Overview

As an Event Coordination Specialist at NAWABZ EXPERIENCE INC, you will be responsible for orchestrating a variety of events, ensuring every detail is meticulously planned and executed.

Qualifications
  • Education: Completion of a college, CEGEP, or other non-university certificate or diploma from a program lasting 1 to 2 years.

Participant Management
  • Manage events with up to 10 participants.
Key Responsibilities
  • Oversee financial aspects including revenues and expenditures.
  • Assist in the preparation of financial documentation.
  • Formulate risk management strategies.
  • Market and promote conference and meeting services.
  • Design and implement emergency security protocols.
  • Evaluate and select venues for events.
  • Create and manage marketing and communication strategies.
  • Develop public relations initiatives.
  • Recruit and oversee staff and volunteers.
  • Prepare and manage event budgets.
  • Engage with potential event sponsors.
  • Review proposals and negotiate pricing.
  • Determine hospitality service needs and manage contracts.
  • Coordinate logistics for shipping, receiving, and storage.
  • Assist in budget formulation.
  • Manage and monitor conference activities and details.
  • Organize event setups, including staging and seating arrangements.
  • Confirm and coordinate with speakers.
  • Implement social programs and manage catering services.
  • Arrange accommodations and transportation for participants.
  • Set schedules, goals, and objectives for events.
  • Develop registration systems and informational materials.
  • Research and create unique event programs.
  • Plan for translation and interpretation services.
  • Establish traffic and crowd control measures.
  • Organize social events and guest programs.
  • Develop policies and procedures for event management.
  • Compile final financial and operational reports.
  • Manage logistics for events.
  • Plan and oversee webinars.
  • Formulate and execute business plans.
  • Supervise office and volunteer personnel.
Supervision
  • Oversee a team of 5-10 individuals.
Technical Skills
  • Proficient in Google Docs, MS Excel, MS Office, MS Outlook, MS PowerPoint, MS Word, and MS Windows.
Experience
  • Experience in community service organizations, conference planning companies, conference centers, convention centers, and hospitality venues.
Safety and Security
  • Must pass a criminal record check.
Travel Requirements
  • Willingness to travel, including extended periods away from home.
Work Conditions
  • Attention to detail is crucial.
  • Ability to work under tight deadlines in a fast-paced environment.
  • Overtime may be required.
