Job Overview

The Event Coordination Specialist will be responsible for overseeing various aspects of event planning and execution. This role requires a strong focus on detail and the ability to manage multiple tasks efficiently.

Qualifications
  • Education: Completion of a college, CEGEP, or other non-university certificate or diploma from a program lasting 1 to 2 years.

Responsibilities
  • Manage financial aspects, including revenues and expenditures.
  • Assist in the preparation of financial documentation.
  • Develop comprehensive risk management strategies.
  • Promote various services related to conferences and special events.
  • Formulate and oversee emergency security protocols.
  • Evaluate and select suitable venues.
  • Create and implement marketing and communication strategies.
  • Engage in public relations activities and media strategies.
  • Recruit, train, and supervise staff and volunteers.
  • Prepare and manage budgets effectively.
  • Solicit donations for events.
  • Review proposals and negotiate pricing.
  • Determine requirements for hospitality, signage, multimedia, and other technical services, and manage contracts accordingly.
  • Coordinate logistics for shipping, receiving, and storage.
  • Assist in budget formulation.
  • Oversee conference and meeting logistics, ensuring all details are attended to.
  • Coordinate event setups, including staging, seating, and communication systems.
  • Confirm and coordinate speakers for events.
  • Implement food and beverage services, transportation, and other necessary services.
  • Plan accommodations and transportation logistics.
  • Establish schedules, goals, and objectives for events.
  • Develop registration systems and informational materials.
  • Research and design innovative event programs.
  • Plan for translation and interpretation services as needed.
  • Manage crowd control and security measures.
  • Design social events and guest programs.
  • Develop policies and procedures, managing other responsibilities as required.
  • Prepare final reports, both financial and operational.
  • Oversee all logistical aspects of events.
  • Plan and manage webinars.
  • Develop and implement strategic business plans.
  • Supervise office and volunteer personnel.
Supervision
  • Supervise a team of 5-10 individuals.
Technical Skills
  • Proficient in Google Docs, MS Excel, MS Office, MS Outlook, MS PowerPoint, MS Word, and MS Windows.
Experience Requirements
  • Prior experience in community service organizations, conference planning, or related fields is preferred.
Safety and Security
  • A criminal record check is mandatory.
Travel Requirements
  • Willingness to travel, including extended trips, is necessary.
Work Conditions
  • Ability to work in a fast-paced environment with tight deadlines.
  • Overtime may be required.
