JOB DESCRIPTION:

  • Ensure the receipt of all necessary legal documentation, verifying against the logging location executed by the appropriate team within CTM. Upload and maintain these documents in the internal database.
  • Regularly monitor and update the legal monitoring log associated with contracts.
  • Engage in responding to various audits, including both internal and external audits, as well as regulatory assessments.
  • Enter, validate, and oversee covenants related to financing products.
  • Prepare monthly notifications for account managers regarding searches and continuations of security interests.
  • Organize, classify, and monitor real security documentation.
  • Review legal documents for potential promissory notes to be submitted to the Federal Reserve (BIC) and ensure proper retention of these documents.
  • Review and distribute daily and monthly reports on defaults and exceptions, along with any additional reports as required.
  • Address requests for legal documents and records, providing related information as needed.
  • Monitor the entry and exit of share certificates within the vault.
  • Reconcile discrepancies and issues in documentation, clauses, and guarantees within ITO CTM and the profession.
  • Log, index, and document files and archives within banking systems.
  • Investigate and respond to subpoena searches requested by the Legal Department.
  • Maintain effective communication and partnerships within ITO CTM, Risk, and Account Executives.
  • Participate in cross-training initiatives to enhance knowledge, contributions, and synergies across teams.
  • Identify opportunities for improvement and efficiency creation.
  • Assist in the onboarding and training of new team members.
  • Undertake other assigned tasks as necessary.
Key Skills and Qualifications:

  • Given that the majority of our clients, both internal and external, are located outside Quebec and Canada, specific language requirements may apply. Proficiency in English is essential.
- - years of relevant experience in corporate banking documentation and/or documentation control within a commercial banking environment.

  • Excellent written and verbal communication abilities.
  • Strong analytical skills with attention to detail.
  • Capability to work independently while prioritizing multiple tasks, adhering to time constraints, and taking ownership of task completion.
  • Ability to exercise sound judgment in unforeseen circumstances while following established policies and controls.
  • Experience in middle office and/or operations is preferred.
  • Familiarity with legal documents is an asset.
