The Nova Scotia Health Authority is seeking a highly skilled and experienced Administrative Assistant to provide comprehensive support to the Director(s) of the organization. As a key member of the executive team, this individual will be responsible for coordinating the day-to-day operations of the Director's office, establishing administrative procedures and guidelines, and serving as a liaison with executive assistants and administrative assistants within the portfolio and across the health authority.
About YouWe are looking for a candidate with a post-secondary diploma in a recognized office administration, business administration, or secretarial program. An undergraduate degree is an asset, and International Association of Administrative Professionals (IAAP) certification is also desirable. The ideal candidate will have a minimum of 5-7 years of progressively responsible experience in providing administrative support and office coordination at the executive level, preferably within healthcare and within an integrated service model provided throughout several locations with multiple partners and stakeholders.
Key Responsibilities- Provide comprehensive administrative support to the Director(s), including coordinating meetings, preparing correspondence, and maintaining accurate records.
- Establish and maintain administrative procedures and guidelines to ensure efficient and effective operations.
- Serve as a liaison with executive assistants and administrative assistants within the portfolio and across the health authority.
- Coordinate all administrative activities, including travel arrangements, expense reports, and other administrative tasks.
- Develop and maintain relationships with stakeholders, including executive assistants, administrative assistants, and other key partners.
- Provide support to assigned networks, individuals, committees, or working groups, as well as support other members of policy and planning.
- Work closely with the Executive Assistant to the VP, Quality and System Performance, Corporate/Zone Executive Assistants, and Administrative Assistant to other Networks.
- Post-secondary diploma in a recognized office administration, business administration, or secretarial program.
- Undergraduate degree is an asset.
- International Association of Administrative Professionals (IAAP) certification is desirable.
- Minimum of 5-7 years of progressively responsible experience in providing administrative support and office coordination at the executive level.
- Excellent communication, interpersonal, prioritizing, and organizational skills.
- Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology, including information and meeting technologies.
- Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information.
- Competencies in other languages are an asset, with French being preferred.
The Nova Scotia Health Authority offers a competitive salary range of $23.78 - $29.73 per hour, as well as a comprehensive benefits package, including health, dental, travel, long-term disability, and life insurance coverage, as well as a defined benefit pension plan.
