As an integral part of the healthcare team, the Administrative Coordinator delivers essential secretarial and organizational support within a collaborative environment. This role is vital in ensuring a secure atmosphere for patients, families, and staff by strictly following safety protocols, procedures, and emergency guidelines.

Key Responsibilities

  • Manage incoming calls from various sources, including patients; direct calls to appropriate personnel or provide relevant information as necessary.
  • Assess the urgency of incoming communications and respond accordingly.
  • Facilitate the exchange of information between clinical staff and external facilities.
  • Acquire reports by liaising with relevant departments or external entities.
  • Schedule appointments and diagnostic tests for patients in partnership with the clinical team.
  • Utilize the patient information system to access necessary patient data.
  • Welcome visitors and address inquiries effectively.
  • Organize meetings and conferences, managing all logistical aspects. Serve as a recording secretary by preparing agendas, drafting, typing, and distributing minutes, and assembling necessary materials.
  • Open, prioritize, and distribute incoming mail. Maintain records and correspondence.
  • Format and revise documents for official correspondence. Draft routine communications for necessary signatures.
  • Assist in gathering, organizing, formatting, and preparing reports as needed.
  • Support clinicians in the development of research documents and grant proposals by compiling information and updating existing documents.
  • Aid in clinician scheduling, time management, and collaborate with the clinical team for coverage as required.
  • Undertake additional related duties as assigned.

Qualifications

Required:

  • Completion of Grade 12, graduation from a recognized secretarial program, including a course in medical transcription, along with three years of recent relevant experience, or an equivalent combination of education, training, and experience.

Additional Assets

  • Understanding of the social, economic, political, and historical contexts affecting Indigenous communities, along with familiarity with Indigenous Cultural Safety and anti-racism initiatives.
  • Proficiency in typing at a minimum of 50 words per minute.
  • Strong verbal and written communication skills.
  • Ability to interact effectively with others.
  • Physical capability to perform the duties of the position.
  • Organizational skills to manage work efficiently.
  • Competence in operating relevant equipment.
