Nortech Advanced NDT is seeking an experienced Administrative Coordinator to work permanently in our office. The schedule for this position shall be 8am - 5pm, Monday to Friday with potential for occasional overtime. Compensation shall be 60-70K annually, 4-weeks paid vacation, cumulative vacation pay, benefits, and bi-weekly performance incentive. The position will require a strong fundamental background with computers, printers, and scanners, and the candidate should be fluent with Microsoft Office applications including Outlook, Word, Excel, Teams, and SharePoint. The job requires management and execution of administrative functions required for the business operation.

Key Responsibilities

  1. Monitoring, reviewing, and completing minor revisions for field reports and invoices daily
  2. Generating and organizing timesheets for processing by payroll weekly
  3. Book-keeping and filing receipts and invoices for purchases
  4. Organizing meetings and greeting visitors, vendors, and clients
  5. Answering calls and relaying messages
  6. Generating and maintaining schedules and calendars
  7. Organizing, filing, and summoning documents in the company database
  8. General office housekeeping and cleaning
  9. Learning and confirming to company policies and procedures
  10. Interacting with suppliers and customers via email, in person, or on the phone
  11. Assisting accounts payable and accounts receivable as required
  12. Picking up office supplies and running general errands

Requirements

  1. Valid Driver's license required
  2. Knowledge of standard Oil and Gas activities and common HSE requirements
  3. Knowledge of welding, Oil and Gas construction and/or non-destructive testing an asset
  4. Experience with company databases, filing structure and naming conventions
  5. Proficient with Microsoft products including Outlook, Word, Excel, Teams, and SharePoint
  6. Proficient with Adobe Acrobat Standard
  7. Excellent oral and written communication skills
  8. Ability to identify problems or potential problems and implement solutions
  9. Experience with billing and timekeeping support tasks
  10. Demonstrated ability to work in a dynamic work environment and maintain effective working relations with a diverse work force
