POSITION OVERVIEW
The Employment Law Administrative Specialist plays a critical role within our Employment | Labour Department . This position demands a unique combination of technical expertise and practical experience to effectively manage the operational needs of the Employment | Labour practice. The ideal candidate will exhibit strong organizational skills, professionalism, and a proactive approach to client relationship management.
KEY RESPONSIBILITIES
- Oversee communications and correspondence through various channels, including phone, email, and mail.
- Provide comprehensive administrative support, including filing, photocopying, and drafting documents.
- Review and prepare client materials, ensuring accuracy and completeness.
- Coordinate the service and filing of legal documents.
- Maintain an organized system for tracking court dates and appointments.
- Manage incoming and outgoing correspondence, including email accounts.
- Address client inquiries and conduct necessary follow-ups.
- Organize and maintain client files and records in accordance with firm policies.
- Schedule meetings and manage calendars efficiently.
- Arrange travel logistics, including accommodations and transportation.
- Process business expenses for reimbursement.
- Draft various legal documents and correspondence.
- Record and maintain time entries for lawyers.
- Ensure timely delivery of materials through courier services.
- Support the Legal Support Team in alignment with the firm's standards.
- Perform additional duties as assigned.
QUALIFICATIONS
- Post-secondary education in Legal Administration or a Law Clerk Diploma is preferred.
- A minimum of 5 years of experience in a legal setting, particularly in Litigation or Employment | Labour law.
- Strong understanding of court procedures and relevant legal rules.
- Excellent communication skills, both verbal and written.
- Ability to work collaboratively in a team-oriented environment.
- High attention to detail and ability to produce quality work under pressure.
- Proficiency in Microsoft Office applications.
- Typing speed of at least 60 words per minute.
- Experience with dictation transcription.
- Familiarity with accounting and document management systems.
- Strong organizational skills and the ability to prioritize effectively.
- High level of discretion and confidentiality.
- Professional demeanor in all interactions.
- Proactive problem-solving abilities.
