Job Overview

The Head of Enterprise Program Management Office (EPMO) serves as a pivotal operational leader with a proven track record in architecting, establishing, and enhancing a centralized corporate program and project management office. This role is crucial for steering the effective execution and delivery of diverse portfolios of programs and projects throughout Definity.

Reporting directly to the VP of Enterprise Portfolio Delivery & Corporate Technology, this leader will facilitate Definity's hybrid and agile program and project management methodologies – emphasizing streamlined process design and execution, effective communication, training, and organizational growth.

The individual will oversee a team of program and project managers, focusing primarily on the Claims sector while also extending support to personal, commercial, product divisions, corporate technology, and other enterprise enablement areas.

Key Responsibilities:

  • Cultivate a team of program and project managers by leveraging shared best practices to effectively plan, manage, and deliver initiatives punctually and within budget constraints.
  • Ensure the successful execution and delivery of programs and projects across various functional areas.
  • Collaborate closely with business stakeholders across Definity to implement lean and agile methodologies that enhance scalability and drive business results.
  • Proactively identify and manage risks, issues, and changes to support teams and guarantee successful program and project outcomes.
  • Utilize industry best practices to create efficient, effective, lean, and agile program and project management methodologies, processes, and templates; document and promote adoption across Definity.
  • Establish and operationalize portfolio management strategies to ensure cohesive oversight of programs and projects.

Strategic Responsibilities:

  • Develop intake and prioritization processes for initiatives, collaborating with the EPMO leadership team to ensure that approved projects and programs deliver value to the organization.

  • Provide weekly leadership reports on program status and overall team management.

Portfolio and Release Planning:

Responsible for defining enterprise-level Portfolio and Release Planning strategies alongside other EPMO leaders. This role drives the execution of these strategies, ensuring that programs and projects are initiated and released in a manner that maximizes returns for Definity.

  • Oversee the maintenance, revision, and reprioritization of the enterprise project portfolio based on input from governance bodies.
  • Identify and resolve issues at the enterprise portfolio level.
  • Liaise with the EPMO leadership team to provide status updates to the executive team regarding the project portfolio.
  • Accountable for preliminary portfolio impact analyses of opportunities.
  • Communicate results from initial business prioritization of projects.
  • Aggregate and report on benefit realization at the enterprise project portfolio level.
  • Monitor and manage team progress in planning releases, adjusting priorities as necessary, and regularly communicating progress to EPMO leadership.

Relationship Management:

  • Ensure alignment of priorities and activities across teams within the EPMO.
  • Utilize influence and negotiation skills to achieve EPMO priorities and goals in support of Definity's strategic plan.
  • Develop and maintain effective working relationships with business sponsors, partners, and IT stakeholders.
  • Promote IT awareness and technical understanding among business partners and stakeholders.
  • Review monthly program/project financials to ensure forecasts align with actuals, addressing discrepancies to remain within committed service levels.
  • Hold project team members and stakeholders accountable for scope, schedule, budget, and quality.

Qualifications:

  • University degree or college diploma in computer science, business, IT, or a related field.
  • Over 12 years of experience in Project Management and/or Portfolio Management within a fast-paced, high-growth technology environment, with a preference for technology experience.
  • More than 7 years of successful management and leadership experience in delivering complex, organization-wide programs and projects on time, within budget, and aligned with business objectives.
  • Proven ability to communicate complex technical concepts and solutions to business partners and stakeholders.
  • Experience in program and project management financials.
  • Familiarity with the P&C insurance industry is advantageous.
  • Experience with the Guidewire cloud platform (Policy Center, Billing Center & Claims Center) is a plus.
  • Relevant industry certifications such as PMP, Agile, Six Sigma, Certified Scrum Master, Kanban, or Prince2 (SAFe, Prosci) are considered assets.
  • Strong management skills with the ability to cultivate effective relationships with business partners, vendors, and IT teams to achieve results.
  • Experience with RFPs, RFQs, and RFIs; ability to assess and negotiate statements of work with vendors.
  • Demonstrated strategic thinking and innovative problem-solving abilities.
