We are looking for a detail-oriented and proactive Office Coordinator to provide essential support to our organization. The successful candidate will oversee daily administrative functions, ensuring smooth office operations while delivering outstanding assistance to both staff and clients. This position demands excellent communication abilities, meticulous attention to detail, and the capacity to juggle multiple tasks in a dynamic environment.

Key Responsibilities
  • Office Oversight: Oversee inventory of office supplies, manage maintenance requests, and maintain an organized and welcoming workspace.
  • Front Desk Management: Act as the primary contact for visitors and incoming calls, directing inquiries to the relevant personnel or department.
  • Calendar Coordination: Organize calendars, arrange meetings, and facilitate travel logistics for team members.
  • Document Preparation: Create, revise, and distribute documents, reports, and presentations. Ensure accurate filing systems and record-keeping.
  • Administrative Support: Aid in the development of materials for presentations, reports, and projects. Provide general administrative assistance as required.
  • Client Engagement: Professionally interact with clients, vendors, and partners, ensuring a positive and responsive experience.
  • Project Assistance: Support special projects and tasks as assigned by management.
Skills, Knowledge and Expertise
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to work independently and collaboratively.
  • Attention to detail and problem-solving capabilities.
  • Ability to manage confidential information with integrity.
