Position Overview
The Office Services Coordinator plays a crucial role in ensuring the smooth operation of office activities. This position is integral to maintaining the quality and efficiency of administrative tasks and the distribution of office correspondence.
Key Responsibilities:
- Collaborate with team members to manage daily administrative functions.
- Ensure timely completion of all assigned administrative duties.
- Oversee end-of-day departmental processes and reporting.
- Provide comprehensive office support to various internal departments, including tasks such as photocopying, scanning, and managing mail and catering services.
- Assist in the data entry of incoming and outgoing mail and couriers promptly.
- Manage office supplies to guarantee availability when required.
- Act as a liaison with internal partners regarding employee onboarding, departures, and equipment returns.
- Perform general office maintenance, including stocking supplies and maintaining common areas.
- Process service requests through the office services portal efficiently.
- Support reception duties, including greeting visitors, scheduling meetings, and handling calls.
- Engage in team-building activities and participate in division events.
- Contribute to special projects as directed by the Manager.
Qualifications:
- Post-secondary education or equivalent work experience is preferred.
- Previous experience in an office environment is essential.
- Ability to thrive in a fast-paced, structured, and collaborative setting.
- Proficient in Microsoft Office Suite, including Excel, Word, and PowerPoint.
- Understanding of customer service principles and practices.
- Capability to perform light physical tasks, such as lifting and reaching.
Work Environment:
- Ability to manage high-volume workloads with tight deadlines.
- Comfortable with prolonged periods of sitting and repetitive movements.
- Experience with multitasking, including customer interactions while accessing information on a computer.
