Position Overview

Capital Projects Coordinator (Full-time – Permanent)

Key Responsibilities

Reporting to the Regional Director of Engineering, your primary responsibilities will include:

  1. Facilitating effective communication with ownership groups and project stakeholders.
  2. Coordinating refurbishment and infrastructure projects on-site.
  3. Assisting department heads with planning, approvals, procurement, and implementation of capital projects.
  4. Maintaining relationships with various hotel departments to ensure seamless project coordination.
  5. Collaborating with the Director of Engineering, owners, and contractors on project execution.
  6. Minimizing business disruptions by coordinating with hotel departments and contractors.
  7. Working with internal communications and marketing teams to ensure accurate information dissemination.
  8. Supporting the engineering team in executing capital projects as needed.
  9. Preparing and managing capital project documentation and invoices.
  10. Tracking expenditures, purchase orders, and ensuring budget reconciliation.
  11. Assisting with audits by gathering necessary documentation.
  12. Maintaining organized records of meetings, spreadsheets, and operational manuals.
  13. Understanding long-term capital visions for the property to inform decision-making.
  14. Providing regular updates on construction activities to hotel departments.
  15. Conducting reconciliations to ensure project budgets align with costs.
  16. Creating standard operating procedures and manuals as required.
  17. Supporting sustainability initiatives across the property.

Qualifications

Required Skills and Experience:

  1. Experience in project management with a solid understanding of timelines and scopes.
  2. Comprehensive knowledge of hotel operations and departmental functions.
  3. Familiarity with building systems and facilities components.
  4. Proficient in Microsoft Office applications and quick to learn new software.
  5. Strong note-taking and digital organization skills.
  6. Demonstrated leadership and supervisory experience.
  7. Basic accounting and budget management skills.
  8. Excellent interpersonal and problem-solving abilities.
  9. Strong organizational skills with the ability to adapt to changing priorities.
  10. Ability to build and maintain positive relationships with diverse individuals.
  11. Previous project management experience is an asset.
  12. A degree in a related field is preferred.
