Position Overview
Capital Projects Coordinator (Full-time – Permanent)

Key Responsibilities
Reporting to the Regional Director of Engineering, your primary responsibilities will include:
- Facilitating effective communication with ownership groups and project stakeholders.
- Coordinating refurbishment and infrastructure projects on-site.
- Assisting department heads with planning, approvals, procurement, and implementation of capital projects.
- Maintaining relationships with various hotel departments to ensure seamless project coordination.
- Collaborating with the Director of Engineering, owners, and contractors on project execution.
- Minimizing business disruptions by coordinating with hotel departments and contractors.
- Working with internal communications and marketing teams to ensure accurate information dissemination.
- Supporting the engineering team in executing capital projects as needed.
- Preparing and managing capital project documentation and invoices.
- Tracking expenditures, purchase orders, and ensuring budget reconciliation.
- Assisting with audits by gathering necessary documentation.
- Maintaining organized records of meetings, spreadsheets, and operational manuals.
- Understanding long-term capital visions for the property to inform decision-making.
- Providing regular updates on construction activities to hotel departments.
- Conducting reconciliations to ensure project budgets align with costs.
- Creating standard operating procedures and manuals as required.
- Supporting sustainability initiatives across the property.
Qualifications
Required Skills and Experience:
- Experience in project management with a solid understanding of timelines and scopes.
- Comprehensive knowledge of hotel operations and departmental functions.
- Familiarity with building systems and facilities components.
- Proficient in Microsoft Office applications and quick to learn new software.
- Strong note-taking and digital organization skills.
- Demonstrated leadership and supervisory experience.
- Basic accounting and budget management skills.
- Excellent interpersonal and problem-solving abilities.
- Strong organizational skills with the ability to adapt to changing priorities.
- Ability to build and maintain positive relationships with diverse individuals.
- Previous project management experience is an asset.
- A degree in a related field is preferred.
