Office Support Specialist

Join our dynamic team at TMX Group as an Office Support Specialist.
Position Overview:
The Office Support Specialist plays a crucial role in ensuring smooth operations within the organization. Reporting to the Manager of Administrative Services, this position encompasses a variety of responsibilities including inventory management, visitor coordination, and mail processing.
Key Responsibilities:
- Welcome and assist visitors from various TMX locations and external vendors.
- Participate actively in the employee onboarding process, including managing security clearances and access cards.
- Handle supplier invoices and maintain accurate records.
- Oversee the inventory of office supplies and ensure coffee and hygiene stations are well-stocked.
- Act as a Health & Safety representative by inspecting first aid kits and monitoring safety protocols.
- Manage access to the office premises efficiently.
- Process incoming and outgoing correspondence and packages.
- Prepare meeting rooms as per requests from executive staff.
- Maintain and update various departmental reports.
- Collaborate closely with internal teams and external contractors to deliver exceptional service.
- Undertake additional tasks as required to support departmental functions.
Qualifications:
- Minimum of six months' experience in a similar role.
- Completion of Secondary V education.
- Proficient in computer applications including Google Suite, Adobe, Workday, CCure, and ServiceNow.
- Strong customer service orientation.
- High level of discretion and punctuality.
- Ability to thrive under pressure and work collaboratively within a team.
- Excellent organizational skills and attention to detail.
- Demonstrated independence and adaptability.
- Effective communication skills in both French and English.
- Capability to perform physical tasks as required.
