Examination Services Coordinator

THIS IS A TEMPORARY REPLACEMENT POSITION FOR A BARGAINING UNIT EMPLOYEE. Terms and conditions of employment are as outlined in the Support Staff Collective Agreement.
Position Overview: This role involves working flexible and non-traditional hours, as testing services operate from 8:00 a.m. to 7:00 p.m. The schedule may vary throughout the semester based on weekly testing requirements. Typically, the working hours will be from 11 a.m. to 7 p.m., subject to change as needed.
Reporting to the Operations Manager of Student and Learning Services, the incumbent will be responsible for managing the booking and supervision of both on-site and online assessments. This includes coordinating exam schedules, room assignments, and ensuring the application of adaptive technologies in accordance with established testing protocols.
Key Responsibilities:
- Responding to inquiries regarding assessments and testing procedures through various communication channels.
- Coordinating test bookings, scheduling students, supervising assessments, and assisting students with disabilities.
- Managing the receipt and return of test materials between faculty and the testing center.
- Ensuring that students with disabilities receive appropriate accommodations tailored to their individual needs.
- Adapting tests to alternate formats and coordinating testing schedules and room assignments.
- Maintaining a conducive environment for assessments.
- Upholding academic integrity by ensuring compliance with testing policies and procedures.
- Preparing the testing area for subsequent days.
- Scoring admissions and placement assessments and entering results into the database.
- Providing feedback for the development of testing services policies and procedures.
- Assisting in training new staff on testing protocols and software.
- Familiarizing with new technologies integrated into Testing Services.
- Utilizing the website and database for information gathering and reporting purposes.
Qualifications:
- A completed one-year postsecondary certificate in a relevant field, such as business or human services.
- Two years of experience in a student services environment, preferably within an educational institution.
- Familiarity with adaptive technologies and the ability to quickly learn and troubleshoot relevant software.
- Proficiency in Microsoft Office Suite for communication and scheduling tasks.
- An understanding of disabilities and mental health concerns, with strong communication skills for diverse populations.
- Excellent interpersonal and customer service skills with a focus on student needs.
- Strong problem-solving abilities and organizational skills to manage daily schedules effectively.
- Self-motivated with the capacity to work independently and collaboratively.
- Ability to maintain confidentiality when handling student information.
- Willingness to work non-traditional hours, including evenings and weekends.
- Experience in a testing environment is advantageous.
- Familiarity with scheduling software and experience in a postsecondary setting is a plus.
