About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Olive Tree Medical Clinic. As an Administrative Assistant, you will play a vital role in ensuring the smooth operation of our clinic by providing administrative support to our medical staff.

Key Responsibilities
  • Client Communication: Interview patients to obtain case histories, open and distribute incoming mail and other material, and schedule and confirm appointments.
  • Administrative Tasks: Train staff in procedures and in use of current software, complete insurance and other claim forms, maintain filing systems, and order supplies and maintain inventory.
  • Document Management: Enter and format electronically based medical reports and correspondence, prepare spreadsheets and documents for review, and initiate and maintain confidential medical files and records.
  • Meeting Support: Prepare draft agendas for meetings and take, transcribe, and distribute minutes.
  • Customer Service: Provide exceptional customer service to patients and staff.
Requirements
  • College, CEGEP, or other non-university certificate or diploma from a program of 1 year to 2 years.
  • Experience is an asset.
  • 1 to 2 years of experience in a medical office setting.
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure and maintain attention to detail.
  • Reliability and flexibility.
