Job Summary

We are seeking an experienced Administrative Coordinator to join our team at PHSA. As a key member of our laboratory services team, you will provide administrative support to our Program Director and staff, ensuring the smooth operation of our laboratory services.

Key Responsibilities

  • Provide secretarial and administrative support to the Program Director and staff, including scheduling appointments, typing reports, and filing documents.
  • Coordinate meetings and events, including communicating with staff and attendees, booking meeting rooms, and arranging equipment and materials.
  • Manage inpatient and outpatient appointments, including scheduling and coordinating special tests and procedures.
  • Prepare and maintain records and reports, including staff rotation schedules and operating procedures.
  • Provide receptionist duties, including receiving visitors, answering phones, and responding to inquiries.
  • Process incoming and outgoing mail, including opening and screening mail, preparing invoices, and arranging for courier pick-up and delivery.
  • Administer the Pat Ross Education Fund, including receiving requests, submitting to committee for approval, and processing receipts for reimbursement.
  • Coordinate staff training and orientation, including scheduling courses and arranging for materials and equipment.
  • Assist with projects and initiatives, including renovations and equipment upgrades.

Requirements

  • Grade 12 graduation from a recognized secretarial program, including recognized courses in medical transcription and three years recent related experience.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada, as per TRC and BC's Declaration on the Rights of Indigenous Peoples Act.
  • Knowledge of social, economic, political, and historical realities impacting Indigenous communities and familiarity with Indigenous Cultural Safety and anti-racism and accompanying reports (BC DRIPA, TRC, etc.).
