Job Summary

We are seeking a highly skilled and organized Program Secretary to provide administrative support to the Central Lab Services team at PHSA Corporate in Vancouver BC.

Key Responsibilities

  • Provide secretarial and administrative support to the Program Director and other Program staff, including scheduling appointments, typing reports, and filing documents.
  • Draft and type a variety of material, such as letters, memoranda, and reports, utilizing a variety of software programs.
  • Schedule meetings, communicate with staff regarding availability, and arrange equipment and materials as needed.
  • Transcribe reports, prepare labels for slides, and perform other related duties as assigned.
  • Prepare staff rotation schedules, maintain filing systems, and organize operating procedures.
  • Perform receptionist duties, including receiving visitors, answering phones, and prioritizing calls for the Program staff.
  • Process incoming and outgoing mail, arrange for courier pick-up and delivery, and perform other related duties as assigned.
  • Administer the Pat Ross Education Fund, track expenses, and coordinate staff training and orientation.
  • Assist the Team Lead in coordinating procedural changes, drafting communication, and maintaining the division library.

Requirements

  • Grade 12, graduation from a recognized secretarial program, including recognized course in medical transcription, and three years recent related experience or an equivalent combination of education, training, and experience.
  • Commitment to upholding the shared responsibility of creating lasting and meaningful reconciliation in Canada as per TRC (2015) and BC's Declaration on the Rights of Indigenous Peoples Act (2019).
