Administrative Coordinator Job Description

Acadia Broadcasting is a dynamic media company with a strong presence in Atlantic Canada and Northwestern Ontario. We are seeking a highly organized and detail-oriented Administrative Coordinator to join our corporate Head Office team in Saint John, NB.

The successful candidate will be responsible for scheduling on-air announcements, advertising, and promotions, as well as interacting with various departments, including sales, creative writing, programming, and promotions. This role is essential to the smooth operation of our stations.

Key Responsibilities:
  • Scheduling on-air announcements, promotions, and advertising
  • Creating and distributing daily commercial airtime logs for select stations
  • Performing daily deposits and balancing payments within the system
  • Generating and distributing invoices and account statements on a timely basis
  • Maintaining and updating customer accounts
  • Providing reports and support to stations and their team members
  • Interacting with advertising customers
  • Ensuring consistency and compliance to processes and timelines
  • Participating in continuous process improvement
  • Ensuring contractual rate integrity and consistency for orders entered within the system
  • Verifying transactions comply with credit policies and procedures
  • Performing general office duties as required
Requirements:
  • High school diploma plus some college in a related field
  • Highly organized with great attention to detail
  • Ability to multi-task, prioritize, and meet deadlines in a high-paced environment
  • Strong written and verbal communication skills
  • Desire to learn and adapt to change
  • Computer literacy - working knowledge of MS Office Suite expected
  • Ability to work independently and as part of a team
  • Experience in an administrative role considered an asset
