Transaction Coordinator Responsibilities
  • Provide exceptional customer service to our valued agents by guiding them through the deal processing journey.
  • Maintain seamless communication with agents, administrators, and accounting departments regarding transaction inquiries.
  • Coordinate and distribute commission payments and client cheques promptly and accurately.
  • Serve as a backup for incoming calls to the head office deals department, ensuring prompt and efficient support.
  • Respond to agent inquiries concerning their transactions, commission payments, and other relevant details.
  • Collaborate with cooperating brokerages and lawyers to ensure smooth transaction execution.
  • Communicate effectively with branch administrators regarding transactions, commission cheques, and deposit cheques.
  • Follow up on commission cheques with outside brokerages and lawyers to guarantee timely processing.
  • Confirm closing details for sales and leases, ensuring a seamless transition for all parties involved.
  • Proactively remind and follow up with agents regarding the submission of necessary paperwork (listing agreements) for deal processing and other tasks related to the daily function of the deals department.
  • Conduct quality control checks on Agreement of Purchase and Sale, Agency forms (buyer representation), Fintrac ID, and other essential documents.
  • Verify details on a Lonewolf Trade sheet, ensuring accuracy and completeness.
  • Perform other duties as assigned by management, contributing to the overall efficiency of the department.
Requirements
  • Prior experience in the real estate industry is highly valued but not mandatory.
  • Exceptional customer service skills with the ability to remain calm and efficient under pressure.
  • Excellent communication and interpersonal skills, fostering strong relationships with colleagues and clients.
  • Proficiency in Adobe, Microsoft Outlook (BrokerWolf, LoneWolf experience is an asset).
  • Strong analytical and organizational skills, ensuring meticulous attention to detail.
  • Ability to work independently and as part of a team, contributing to a collaborative environment.
  • Capacity to thrive in a fast-paced office setting, managing multiple priorities effectively.
