The Chatham-Kent Family Health Team (CKFHT) is a collaborative network of healthcare professionals, including Physicians, Nurse Practitioners, Nurse Educators, Dietitians, Pharmacists, Occupational Therapists, Social Workers, Chiropodists, Health Promoters, Certified Respiratory Educators, and Diabetes Education Teams. CKFHT operates across multiple locations within the Chatham-Kent municipality, serving approximately 35,000 patients and continuing to expand.

The CKFHT is dedicated to partnering with individuals, families, and community organizations to enhance the health and wellness of our residents and the broader community.

POSITION SUMMARY:

This role entails providing reception, clerical, and administrative support, fostering a professional and welcoming environment that contributes to the efficient delivery of client care. The position requires availability on weekends.

REPORTING STRUCTURE:

This role reports directly to the Secretarial Team Lead.

KEY RESPONSIBILITIES:

  1. Greet clients and manage incoming calls.
  2. Coordinate client appointments with healthcare providers and confirm patient information during each visit.
  3. Validate patient health card details, including expiry and version codes, and document any instructions related to outdated cards in the EMR system.
  4. Confirm the patient's preferred pharmacy.
  5. Ensure accurate identification of the client's primary care provider.
  6. Check patient roster status; if unregistered, assist the patient in completing the necessary forms and ensure data entry into the system.
  7. Inform patients about their consultation appointments, including details on date, time, location, and required documents, and update the EMR accordingly.
  8. Reschedule appointments as needed.
  9. Process payments from patients and third parties, issuing receipts and returning invoices to the physician.
  10. Document all communications between the Medical Secretary and patients or physicians in the patient chart.
  11. Monitor EMR Messenger throughout the day for updates.
  12. Perform additional duties as assigned.

QUALIFICATIONS:

  1. Required: Medical Office Administration Diploma from an accredited institution.
  2. Must be fully vaccinated against COVID-19, with proof required.
  3. Experience with EMR systems, particularly Accuro, is an asset.
  4. Exceptional customer service skills.
  5. Two to five years of relevant experience, preferably in a healthcare environment.
  6. Proficient in computer usage and various software applications.
