The Operations Supervisor plays a pivotal role in assisting the Business Management team with the overall functionality of the practice. This position focuses on inspiring and overseeing staff, enhancing operational efficiency, and ensuring that the practice meets its long-term strategic goals within a secure and productive environment.
Key Responsibilities
The Operations Supervisor is tasked with the following core duties:
1. Supporting the Business Management team in daily operational activities, ensuring that all staff fulfill their primary roles effectively.
2. Providing leadership and direction to staff, ensuring compliance with policies and procedures at all times.
3. Directly managing reception supervisors and administrative leads.
4. Overseeing administrative tasks related to quality outcomes frameworks and collaborating with the designated QOF Admin lead.
5. Managing central reporting processes, including annual declarations and compliance toolkits.
6. Ensuring adherence to CQC regulations and standards by collaborating with the complaints lead.
7. Coordinating practice projects and fostering relationships with relevant networks.
8. Organizing regular team meetings, ensuring that action points are documented and communicated promptly.
9. Reviewing and updating job descriptions and specifications in collaboration with the HR lead.
10. Overseeing recruitment processes, including pre-employment checks.
11. Evaluating and managing the staff induction program in conjunction with HR.
12. Implementing a robust staff appraisal system and development plan for all personnel.
13. Leading the management of clinical systems, ensuring data security and compliance with information governance.
14. Promoting the use of patient online services and ensuring effective communication through the practice's digital platforms.
15. Managing contracts for various services and ensuring compliance with safety regulations.
16. Organizing annual equipment testing and compliance checks.
