Position: Senior Product Administrative Coordinator

Reports to: Vice President, Product

Position Type: Permanent, Full-time

Location: Hybrid

Role Overview:

The Senior Product Administrative Coordinator provides essential strategic support to the Vice President of Product. This role encompasses managing correspondence, scheduling, meeting coordination, and various administrative tasks. The Coordinator will assist with research, presentations, travel logistics, and event support.

The individual in this position will represent the VP of Product with professionalism, discretion, and integrity, demonstrating the core values of Accoravillage. The role requires the ability to manage multiple priorities while maintaining confidentiality and accuracy.

Key Responsibilities:

  • Gain insight into the VP of Product's strategic objectives.
  • Manage email correspondence, organizing and tracking follow-ups. Draft routine communications and prepare essential documents.
  • Coordinate logistics for meetings, including material preparation and venue arrangements.
  • Oversee the VP's calendar and prepare necessary documentation for upcoming engagements.
  • Schedule meetings and manage virtual call arrangements.
  • Assist with special projects, providing organizational support for international delegations.
  • Support budget management by monitoring expenses and preparing financial reports.
  • Facilitate travel arrangements, including bookings and expense management.
  • Assist in the creation of presentations and materials for various events.
  • Order supplies and manage resources for the VP of Product.

Qualifications:

  • University degree or college diploma in a relevant field.
  • 5+ years of experience in a senior administrative role with strong organizational and communication skills.
  • Proven ability to manage multiple projects and adapt to changing priorities.
  • Experience in the non-profit or NGO sector is advantageous.
  • Demonstrated ability to handle confidential information with discretion.
