Community Engagement Program Support Specialist

- Handles inquiries from students and clients; provides detailed course information to potential participants, including updates on course modifications or cancellations. Manages communication through calls and emails, directing inquiries to the appropriate departmental personnel or taking messages as necessary.
- Facilitates course registrations and maintains accurate records using various internal software systems.
- Collaborates with the supervisor and other departments to aid in program planning and execution.
- In partnership with team members, supports educational programs and workshops by coordinating deliverables, ensuring the availability of materials, and managing shared resources.
- Organizes and maintains course setup, participant lists, course reconciliations, and completion requirements.
- Secures adequate facilities and ensures that necessary supplies and resources are accessible for course delivery and instructors, adhering to established procedures.
- Drafts a variety of documents, including correspondence, contracts, evaluation summaries, curriculum preparations, and memos.
- Maintains the department's database of statistical course information, instructors, contract agencies, and stakeholders.
- Establishes and maintains filing systems, both paper and electronic.
- Assists with financial reporting by tracking expenses and providing updates on course delivery finances. Also coordinates travel arrangements for instructors to various locations.
- Manages the maintenance of the department's web page and social media accounts, assisting with online and print advertising efforts.
REPORTING STRUCTURE
Reports to the Community Coordinator
QUALIFICATIONS
EDUCATION:
- Completion of Grade 12 plus a one-year Business certificate or equivalent.
EXPERIENCE:
- Two years of relevant experience, including one year in program delivery and one year with Microsoft Office and website software.
SKILLS, KNOWLEDGE, AND ABILITIES:
- Proficient in electronic word processing at 60 wpm and data entry.
- Ability to interact courteously and tactfully with students, staff, and the general public.
- Effective verbal and written communication skills.
- Capability to operate related equipment.
- Fluency in database management, desktop publishing, spreadsheet, and word processing software.
- Demonstrated ability to work independently as well as collaboratively within a team.
- Strong organizational skills with the ability to prioritize tasks and meet deadlines while maintaining accuracy and attention to detail.
- Possession of a Class 5 driver's license.
WORKING ENVIRONMENT:
- Involves sitting at a desk and using a computer for extended periods.
- Requires extensive interaction with students, staff, and the general public.
- Typical office conditions apply.
- Travel may be necessary.
The salary for this position is governed by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it currently exists.
