Job Summary

The Operations Manager and Co-HR (Human Resources) is a pivotal member of the senior management team at Living Space, tasked with leading and optimizing the organization's diverse programs. This role involves the development, implementation, and management of key initiatives such as the low-barrier emergency shelter/drop-in services, volunteer and fundraising programs, and front desk operations.

Key Responsibilities
  • Develop and implement new strategies for diverting clients from homelessness while improving processes and procedures to decrease client time spent in shelter and increase successful integration in housing programs.
  • Plan and assist with new employee orientation to foster a positive attitude toward organizational objectives.
  • Coordinate and manage the day-to-day operation of the Living Space programs.
  • Support the recruitment of volunteers, both with and without living/lived experience to support Living Space programs.
  • Plan, direct, supervise, and coordinate work activities of staff relating to engagement, compensation, and employee relations.
  • Mediating complex staffing issues, including understaffing, disputes, and disciplinary procedures.
  • Conduct regular performance reviews of staff and probationary reviews of new staff.
  • Analyze training needs to design employee development, professional training and health and safety programs.
  • Maintain and update all staff files.
  • Ensure that all Staff adhere to company policies and procedures and uphold quality service standards.
  • Support employees by answering questions, interpreting policies and contracts, and helping resolve work-related problems.
  • Examine reports (incident, restrictions, logs, etc.) to confirm the operational activities of the shelter staff are being utilized correctly and to develop recommendations for improvement of policies and practices.
  • Build supportive and long-lasting relationships with local community residents, businesses, and services. Use professionalism, tact, diplomacy, and sensitivity to portray the company in a positive manner while facilitating improvement-focused solutions. Always demonstrate positive leadership and ethics.
  • Enhance the organization's reputation by accomplishing new and different requests for support; exploring opportunities to add value to job accomplishments.
  • Build key partner relationships with new and existing partners, including collaborating with community partners to bring in house services to staff and clients while encouraging strong, effective, and constructive working relationships between staff and community partners.
  • Attend virtual and in-person meetings, training and workshops and develop creative ways to bring that information back to the shelter staff.
  • Manage challenging situations and difficult behaviour, providing effective crisis management and intervention when required.
  • Handle complaints received from clients and brainstorm collaborative solutions.
  • Investigate and report on accidents for insurance carriers and/or the Ministry of Labour.
  • Maintain Living Space existing fundraising programs and research and implement new methods of generating income.
  • Monitor supplies, report missing supplies, and reorder supplies as needed.
  • Ensure full operation of Living Space through budget conscious staff scheduling, monitoring absences, and managing staff vacation hours.
  • Prepare personnel forecast to shelter employment needs.
  • Ensure that goals and objectives are met, and that corrective action is taken when necessary.
  • Meet regularly with Senior Management Team, as well as Team Leads/Supervisors.
  • Foster a culture of Safety for all individuals at Living Space by: Ensuring program space and property are Monitored effectively using video system and routine patrols and safety checks of the interior & exterior of Living Space. Reviewing and teaching emergency & fire procedures. Accurately recording/reporting incidents and near misses. Notifying the Health and Safety Committee of any health and safety concerns.
