Office Administrator, Yellowknife (English Services) (On-Site)

Position Title: Office Administrator, Yellowknife (English Services) (On-Site)

Status of Employment: Permanent

This role requires full-time on-site presence.

This position is integral to the CBC North team, focusing on delivering confidential administrative and operational support to the region. You will be pivotal in managing all facets of employee compensation and contracting, along with other initiatives as necessary.

Your Responsibilities:

  • Collect and validate information, initiating documentation related to staffing and compensation for employees across CBC Network News, News Production Services, and Regional News.
  • Provide support for all CBC locations in the northern territories.
  • Oversee calendar management, travel arrangements, and expense claims for the Senior Managing Director.
  • Assist in scheduling as needed.
  • Facilitate the onboarding process for new staff members.
  • Ensure compliance with corporate policies, departmental practices, and collective agreements, securing necessary authorizations and processing documentation promptly.
  • Collaborate with Human Resources to offer support and information to staff regarding changes in collective agreements, benefits, and more.
  • Investigate and communicate with Human Resources on employment status and payroll issues.
  • Assist in determining the appropriate contractual status for employees.
  • Research and advise management on additional remuneration, contracts, leave, attendance, and other employee-related matters.
  • Provide administrative support using Workday.
  • Prepare employee contracts and freelance agreements through Livelink.
  • Manage documentation for hiring temporary employees, including frequent coordination with local Finance/HR for payments.
  • Develop, implement, and maintain business processes related to the aforementioned duties.
  • Draft and assist in the preparation of confidential reports.
  • Establish and maintain various computerized files and record systems to monitor probationary periods, employee status, and other relevant information.
  • Support various committees, including Occupational Health & Safety and Wellness initiatives.

Qualifications:

  • 3-5 years of experience in a similar role within a comparable environment.
  • Post-secondary degree or diploma with a focus on business administration or equivalent experience.
  • Outstanding organizational skills.
  • Excellent communication abilities.
  • Demonstrated ability to exercise sound judgment, discretion, and confidentiality.
  • Proficient in standard desktop software, including MS Office and Google Docs.
  • Experience with Workday is advantageous.
  • Familiarity with tight deadlines, particularly related to payroll, is beneficial.
  • Ability to thrive in a collaborative environment.
  • Adept at listening and valuing diverse perspectives.
  • Quick learner, adaptable to new tools and changes.
  • Willingness to learn and mentor others.
  • Knowledge of a Northern Indigenous language is a plus.
  • Strong understanding of the Northern political and cultural landscape.
