Our client, a leader in the manufacturing sector focused on healthcare solutions, is in search of an Executive Assistant to provide comprehensive support to the Vice President of Procurement. A minimum of 5 years of relevant experience is essential.

Key Responsibilities:

  • Act as a representative for the Executive Vice President of Operations and Supply Chain
  • Anticipate the requirements of the Executive Vice President and proactively assemble the necessary personnel and resources to facilitate effective problem-solving
  • Prepare meeting agendas in advance, assist with research, content development, presentation design, and coordinate meetings presided over by the Executive VP of Operations and Supply Chain
  • Oversee daily scheduling, prioritize appointments, and proactively address scheduling conflicts
  • Manage travel logistics, including flight and hotel reservations, visa arrangements, and necessary documentation
  • Conduct expense reconciliations and manage credit card transactions in accordance with company policies
  • Uphold the professional image of the Executive VP by ensuring all correspondence meets consistent and high standards
  • Review, assess, implement, and maintain administrative procedures to improve efficiency and cost-effectiveness
  • Lead special projects as required

Required Skills, Knowledge, and Abilities:

  • Exhibits a high degree of integrity
  • Maintains confidentiality, diplomacy, and tact at all times
  • Strong communication skills for conveying information to the Executive VP, the organization, and external stakeholders (both verbal and written)
  • Bilingualism (French & English) is mandatory

  • Demonstrates meticulous attention to detail, consistently verifying work for accuracy and thoroughness
